Board Meeting – February 14, 2021 – Meeting Minutes
Zoom Meeting, Elizabethtown, PA
Open:
President, ShaunJude McCoach, called the meeting to order at 6:00pm.
Board Attendance:
ShaunJude McCoach (RAA President), Michael Smith (Vice President), Heidi Vognetz
(Secretary), Brian Bell (Soccer President), Karrie Norman (Softball Commissioner), Adam
Kitchen (Volleyball Commissioner), Kim Yocum (Field Hockey), Tom Rotondo
(Fundraising Chair)
Kelly Garber (Treasurer) and Jon Norman (Rugby Commissioner) were not in attendance.
Special Guests:

Email vote between meetings: On 1/22/21 the board unanimously voted to approve a
request for $1500 for indoor training space for LAX.
Prior Meeting Minutes Review and Approval:
Adam Kitchen made a motion to approve the December 13, 2020 meeting minutes.
Mike Smith seconded the motion. The motion was approved unanimously.\
Finances – Kelly Garber – approve 2020 financials: Not discussed
New Agenda Items:
1. Lacrosse Commissioner Opening – William Buzzard announced his
interest in filling the position. Shaun McCoach made a motion to elect
the Bill. Brian Bell 2nd the motion. The motion passed unanimously.
2. Discuss Replacements for Roger and Kelly – Both Roger and Kelly have
stated their intent to step down from their roles in RAA in the near
future. Shaun asked the board to be on the lookout for potential
candidates for these roles.
3. Registration Numbers for the Spring – Registration numbers are a little
low for Softball, Lacrosse and Soccer for the Spring. This isn’t surprising
with COVID and the numbers aren’t too concerning.
4. Finance Committee Updates – A Finance Committee has been formed.
Current members include: Shaun McCoach, Tara McCoach, Kelly
Garber, Karrie Norman, and Mike Smith. The committee is planning to
meet monthly and have had 2 meetings so far. All sports are projecting
a profit for 2021 in their budgets.
Action Items:
1. June 2020 - Karrie requested a list of fields and which sports use each field. This would be
helpful for invoice handling.
February 2021 Update: Shaun has asked each commission to send a list of their fields to
Heidi. Heidi will then compile a complete list to share with the board.
Athletic Program Updates:
1. Fundraising and sponsorship – Update – Tom Rotondo
No update.
2. Softball – Update – Karrie Norman
There will be free softball clinics for 6U on 3 different Saturdays in
April/May.
3. Boys Lacrosse – Update – Bill Buzzard
Great numbers at open gym – including new players.
Spring numbers are slightly low but expect last minute sign ups.
Need a Head Coach for 10U.
4. Soccer – Update – Brian Bell
Numbers are low for a few age groups. Currently there are not enough
girls signed up for a U10 team.
Not able to send backpack flyers due to COVID.
5. Volleyball – Update – Adam Kitchen
No update.
6. Rugby – Update – Jon Norman
No update.
7. Field Hockey – Update – Kim Yocum
Mt Joy Township Field – Mr Miller is willing to cut grass low enough (2”)
for FH to practice. The cost is $400 for the field for the year and $20/week
to mow for 8 weeks.
LAX may be able to use the field also and share in the costs.
8. Compliance/Risk Management – Update – Kristi Ritter
No update.
9. Fields/Facilities/Equipment Buildings
No update.
10. Miscellaneous
Game of Chance – Karrie will renew for 2021
Shaun made a motion to begin using QuickBooks Online ($20/month).
Karrie 2nd the motion. The motion was approved unanimously.
